How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- When you contact us about our services
- To enable us to respond to your enquiry
- To enable us to process payments to you
- To enable us to fulfil our work contracts with you.
We also receive personal information indirectly, from the following sources in the following scenarios:
We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users’ browsing actions and patterns and does not identify any individual.
We use the information that you have given us in order to provide you with quotes for ecological services as requested, provide you with up to date information on our company, send you occasional newsletters (if requested) about our ecological services, to process payments to suppliers and contractors, and to undertake work to fulfil our contracts.
We may share this information with our sub-contractors as required to undertake any services you have asked us to provide, and with statutory agencies and bodies as appropriate to obtain mitigation licences and to comply with the law around protected species.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(b) We have a contractual obligation.
How we store your personal information
Your information is securely stored on our servers.
We keep financial information in a database for 5 years after the last contract with you has been completed. We will then dispose of your information by removing your details from the database.
We keep all personal details, either gathered through provision of consent or contractual services for 5 years after the last contract has been completed. After this time, your details will be removed from our system.
If you give your consent for marketing purposes, we will keep your details until such time as you opt out. This will be reviewed annually.
If we provide a quote for services that you do not proceed with, we will keep your details for 3 years, in case of dispute.
Due to the nature of our business, some documents and personal information will need to be kept for longer periods, for legal reasons. Where this is necessary, it will be detailed in your contract with us.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
